The Documents page in WebAdmin is shown to most users after they log in. It serves both clinical and administrative users. When first loaded, the page shows the current day's records and controls for generating reports.
The Document's page lists the cases in a table, with each case having its own row. Each case is listed with controls to view documents, case information, and status.
The next three columns present information. First, the patient name, MRN, and Account number appear together. This is followed by a column with procedure information, including the case's scheduled time. The third column of case information lists the anesthesia team members associated with the case.
The Documents column of the table lists each document created for a given case. If the document has been signed by a provider to finish it, the date, time, and signing user's name will appear. If multiple versions were signed, such as in the event of a correction, the prior versions' information can be seen by hovering over the parenthetical count for the document.
When the record is finished, the last column's checkbox will be checked, indicating that the record can no longer be changed.
Please see Documents Overview – Plexus Technology Group for more information.
Toggling Lock/Unlock
A common support task is locking or unlocking an Anesthesia Record. It sometimes can be necessary to unlock a record if a clinician accidentally finishes it. It can also sometimes be necessary to force a record to lock, for instance, if a record was unable to have all validations cleared and the record must proceed to hospital records and the anesthesia billing office. In either case, toggle the checkbox and click "save" at the top of the column. Multiple records can be toggled at the same time.
Please see Unlocking or Locking Cases in WebAdmin – Plexus Technology Group for more information.
Filters
Anesthesia Cases shown can be filtered, showing only started cases, cancelled cases, or those with validation issues. (Started cases have Anesthesia Records.) Select any checkbox for the selected filtered and "Load" to update the list.
Provider Filter
To see the cases for an individual provider or care teams, select one or more providers from the dropdown and then "Load" to reload the page.
Reports
The Documents page has several reports to view or print.
- Print Selected Documents: allows users to "target" one or more documents, such as printing all the Nerve Blocks on a given day (omitting the cases with no Nerve Block.)
- Select Alls: Is a fast method of printing all documents for all cases.
- The Validation Report: is a specialized report focusing just on Validation issues for cases on the DOS. This can be a simpler view used for checking cases for issues.
Going to DOS or Specific Patients
By default, the Documents page shows the current day's cases. Users can change the day to view days in the past (or scheduled items in the near future.)
To look up an individual case with only patient information, the "By Patient" control can be used. Select this, and enter identifying patient information (Last name, MRN, or Account number). Any matching patients will appear.
Concurrency Issues
Appropriately privileged users can have the Documents page calculate Concurrency issues automatically. This can be useful at the end of the day or when viewing previous days. Simply press the "Calculate" button for Concurrency Issues, and a message listing all cases with conflicts will appear below.
The Documents page is used to review cases, and to find them. It is also used to find specific cases or information and to generate reports.
